A Dough Scraper, a GFCI Breaker, and $8,000 in Potain Parts: A Procurement Story

Last April, I was sitting in my office with three quotes spread across the desk, trying to decide which supplier would get our Potain parts order for a Potain city crane in Utah. My coffee was cold. What prevention actually costs

So we went with the higher quote. The one from the supplier we'd used before. Here's what the whole thing taught me, and it's not revolutionary. Prevention is cheaper than correction. Five minutes of checking beats five days of fixing. But the way you make prevention work is by making it a routine. You don't think, you just do it.

So I built a checklist for every parts order over $2,000. It has 12 items. Verify the electrical specs. Ask for written compatibility claims. Confirm shipping terms. Call the site contact. Take a photo of the machine. Check the quote for add-ons. And a few other boring but useful steps. I keep a physical copy because digital ones get ignored. It has saved us an estimated $8,000 in potential rework so far. Probably more, if you count time lost.

That's not to say I never use new suppliers. I do. But I check them first. I ask for references. I test with small orders. And I pay attention to the little things, like a mechanic who uses a dough scraper to clean a sealing surface. He taught me that the right tool isn't always the expensive one, but the wrong part is always the expensive part.

One more thing on shipping. We had to send the signed purchase order by mail because the supplier's portal required a physical copy. I used USPS Priority Mail. I know this is a quiet story. No dramatic crane collapse, no missed deadline, no six-figure loss. Just a boring, small victory for checking things twice. And honestly, those are the best kinds of wins in procurement.
